for whatever context in which you’re communicating, decide the logical mind-state sequence that will lead to the state of mind your “audience” should be in that leads to your outcome. all you have to do here is simply attach a keyword, or key-phrase if you prefer, to each mind-state in your sequence that leads to your end-state of mind which matches the outcome of your communication. all you have to do is associate a specific facial expression and gesture that corresponds to each state (like curiosity, or confidence, or desire). – but lucky for you, becoming a master communicator is much, much easier than earning a black belt in karate!
steven covey said it best, “seek first to be understand, then be understood”. before you open your mouth, you don’t need to do anything except understand what the other person is saying. if you’re trying to sell something, you’ll sell it better, the more you know about the prospect. you’ll be better at hiring someone if you’re better at listening to their needs in a job. crystalizing doesn’t always mean short, though; it could also mean you’re tailoring it to the audience. 1) listen and understand your audience, and then think of the best way to deliver the message to them based on what you know about them. if you’re meeting with someone for the first time, see if there are any youtube videos about them so you can pick up their communication style. crystalizing applies to talking, giving a speech, emailing and many other forms of communication.
you should be empathetic to the fact that your audience is taking the time to listen to you, and if you don’t play with their emotions a bit, you’re not going to hold their attention. your message doesn’t get through, and you’re an ineffective communicator. this applies to writing and speaking to others. one interesting test was done with interviewees in which they sat back like a boss in a chair before interviews and it changed their emotional state to more strong and positive. people are afraid of giving feedback to others but forget how important it can be to solve a problem before the problem gets worse. in toastmasters we would give feedback to someone that just gave a speech. in delivery this was a positive remark, a constructive remark, finished by a positive remark to end with. this way the recipient knows what to work on, but is left with a good comment at the end. layering on to that, you should deliver a crystalized, engaging message to the recipient.
